Testing and Extending a Clinical Trial Coordination Platform

The Brief

Themison is running a pilot with a key stakeholder to validate a clinical trial coordination product ahead of a wider rollout decision. I lead the UX research and design on a part time basis, working directly with that stakeholder to ground the product in real workflows rather than assumptions.

The main goal: understand how trial teams actually coordinate scheduling, communication, and regulated administrative work today, and turn that understanding into a validated direction for the product.

From Observation to Validated Insight

Clinical trial coordination is tightly regulated and often invisible to anyone outside it. Before any feature gets proposed, the actual workflow, not the assumed one, has to be understood.

I run the research directly with the stakeholder's team: interviews and workflow walkthroughs covering scheduling, communication, and compliance work. That input gets distilled into a clear set of user insights, then narrowed down to the pain points and bottlenecks that actually block coordination day to day.

Turning Insight into Product Direction

Validated pain points get translated into concrete use cases: who needs to do what, under which constraints, and why it matters. I formulate the features that address them, so scope is defined by evidence before any screen is designed.

Every feature on the table traces back to a specific bottleneck or use case surfaced in research, which keeps the pilot decisions grounded rather than speculative.

Design That Scales Beyond the Pilot

Alongside feature definition, I assist in designing the UI for these features and building a scalable design system: shared components and interaction patterns built to extend past the pilot scope. It's the foundation the product will run on once it moves beyond validation.

I use AI tools like Claude Code throughout this process: turning raw interview notes and workshop boards into structured insight summaries, drafting first-pass component specs and naming conventions for the design system, and generating quick interactive prototypes to test interaction patterns with the stakeholder before committing them to the UI. It keeps iteration fast without cutting corners on the research that grounds each decision.

Current Stage

The pilot is ongoing. Findings continue to shape the use cases and features under active definition, ahead of a decision on wider rollout.
